These are the answers I gave.  I hope you find them interestig.

1.       How do your packages work?

Our package of Administrative/Secretarial Support are very simple to use. In the first instance we will arrange a one to one meeting with you at your office (whenever possible) to get an understanding of the current circumstances you are working in. From this meeting we are able to discover what services you require assistance with and tailor a package of support for your needs. If you decide that you would like to use our Virtual Service we will put you in contact with one of our PA who will become your main contact while working with myPA. If you would like a PA to come to site we will make sure that the PA is able and willing to work from your office.

We do like to have an email address set up in your company name so that when we send out information to your clients the email will be from your company email address. If we are going to send out information to your clients via Royal Mail then we will need either a copy of your headed paper via email or a supply of your paper.

Contact with myPA and our PAs is via telephone, email, Skype and within the next few days our own Travel Chat programme. We also undertake tasks via text and the postal service.

2.       Is it possible to set up a trial basis?

We currently have an introductory package for Administrative/Secretarial Support. For one month, you can take up to 6 hours of administrative/secretarial support for £99 only. There after we move onto a rolling contract of your choice. Please see below.

3.       Would one person work with me or a team.

We try to have one person working with a client as we are very keen to ensure that a close working relationship is developed, we become your Personal Assistant. With all of our clients we have found that there are many tasks that we undertake that can be done by anyone on the team, however every now and again there are some personal task that are undertaken and therefore confidentiality becomes important even between us, (for example accounts, quotes and some private administration).

4.       If it were one person, what would happen if they were off sick, holiday etc?

We have weekly meetings within myPA, normally on a Monday, where we describe what tasks we currently have to undertake for each of our clients. During these meetings we get to understand a great deal about the company our Personal Assistants are working for and what tasks become important. It is also during these meetings that we understand the tasks and services offered to each client and how we report back to our clients.

If one of the team is sick or they are on holiday we already have an understanding of the services that are undertaken and are able to step in and help the client. It is very important to all at myPA that when one of us is away our service to our clients does not deteriorate in anyway.

5.       What are your security arrangements?

With regards to myPA’s physical security. To enter to the office block you need to have a key card that is issued to tenants only. All visitors can only enter the building via a door entry system. Entry to our office is then via a Yale lock.

With regards to myPA’s computer security. All our computers are password protected. We have up to date virus protection and access to our server is limited to my company only. Within the office block we have the Medusa system and firewalls.

6.       Would you be able to provide skills such as , powerpoint presentation construction, web page changes (especially Wordpress), blog and social media posts, social media profile construction?

We are able to provide PowerPoint presentation construction, and make changes to websites. With regards to blogs and social media, if you have created the narrative we are more than happy to post the information. We currently use Wordpress, DotnetNuke, Twitter, HootSuite and Linkedin. We can also help with the construction of media profiles if the narrative is given to us. We have on occasions been guided to a clients website and asked to create a profile from the information there.

7.       What are you packages and fee structures?

Administrative/Secretarial Support:

1              Pre Booked Hours
Our basic monthly fee is £99 paid each month for 5 hours of administrative support.
If you book 10 hours of Administrative support then this is charged at £198 each month.
If you book 15 hours of Administrative support then this is charged at £297 each month.
If you book 20 hours of Administrative support then this is charged at £396 each month.
All of the above are on a rolling contract.
2                     If you chose to use our hourly fee only then this is charged at £21.00 per hour. Charged in 1/4 hour blocks.

3                     We can have one of our VA come to your site on a predefined day and time. The fee structure for this option will depend on where your offices are and how many hours you would like our PA to be with you.
(All prices exclude VAT)
Accounts Packages

1                     If you are after book keeping with full Management Reports then this is charged at £25.00 per hour.

2                     All credit control is charged at £22.50 per hour with a detailed report sent back to you with the results of each call (This prices does not include the cost of phone calls).

8.       Is there anything else that I need to know?

Working with myPA is like working with one of your own employees who has accountability for the work they undertake while taking pride in the tasks they do for our clients. However you don’t have the responsibility of employing staff yourself.

All of the PA’s in myPA are highly adaptable and enjoy working with different clients and getting to know how each company operates.

Confidentiality and accountability is vitally important to myPA as we take pride in our clients and our clients achievements.

We have never refused a clients task however if for some reason it is out of our skill base we will ensure that we are able to find the right person or company to help complete the task.

 Twitter & my business?

Can Twitter or Facebook help my Business?

It depends on several factors, the most important of which is this: where does your target audience spend time online? Different groups of people use different social media platforms.

If you are certain that the people you need to engage with are on Twitter and / or Facebook, the next factor to consider is time: do you, or somebody in your company, have enough time to build a presence on these platforms?

The next factor is having the right attitude towards using these platforms to promote your business. Twitter and Facebook are social media platforms, with the emphasis on social. In our interview with Rob Jones of Surefire Digital, we discussed how these environments can work well if you are prepared to put time into promotions and get to know people there, but the hard sell rarely works. Are you prepared to focus on building relationships and perhaps only getting tangential benefits such as brand building (and only if you get it right), and not look for immediate financial returns?

Businesses can use Twitter and Facebook for specific promotions once a following is in place, however, you need to ensure that these promotions are well planned and tie into your wider marketing efforts. Spending a little time watching what other businesses are doing on Twitter and Facebook is well worth it.

Lastly, ensure that you have a clear idea of what you want from the activity. If your goal is to drive people back to your website to engage them in a well-designed sales funnel, then you may see good results. However, if your site doesn’t have a clear set of goals that can be attained, you need to focus on your core web presence before reaching out with social media.

There is no guarantee that either Twitter or Facebook can help your business, but for those who have done the research, found relevant audiences and are prepared to put in the time, they can help to build relationships with potential customers and build brand, ultimately leading to increased sales after a period of time
